PoPs Ledger
PoPs Ledger
Get paid, pay out, and stay compliant — one shared ledger.
Who it's for
Office staff and owners handling billing, collections, and payroll.
Real accounts receivable, real burdened payroll, and real certified-payroll compliance — not a bolt-on spreadsheet.
Construction accounting has real requirements general accounting software doesn’t — burdened labor cost, certified payroll on prevailing-wage jobs, retainage that has to be tracked separately from a regular invoice, and a job that might need billed three different ways depending on the contract. PoPs Ledger is construction accounting software built around those requirements directly — a construction-specific chart of accounts, double-entry journal entries, and real financial statements (Profit & Loss, Balance Sheet, Cash Flow) generated from the ledger itself, not assembled by hand at close.
Both sides of the books are covered, connected. Accounts receivable — invoicing, collections, split and partial payments — with billing for however the job is actually contracted: progress billing (AIA G702/G703) for a draw schedule tied to percent complete, milestone billing for a fixed-price job that bills at defined points instead of a percentage, and time-and-material billing for work billed on actual hours and materials rather than a contract line-item value. Accounts payable lives directly in PoPs Ledger too, fed by PoPs Procurement’s real vendor pipeline — RFQ through delivery — so a bill Procurement generates lands in the ledger without being re-entered. Burdened payroll — FICA, Medicare, FUTA, plus your own SUTA, Workers’ Comp, and benefits, not just gross wages — rounds out the accounting side.
Field hours don’t have to be re-keyed to get to payroll, either — time recorded on a Work Ticket in PoPs Field pushes straight into a PoPs Ledger payroll run, already burdened correctly instead of arriving as a flat hours total. That run only posts to the general ledger once a named person has reviewed and accepted it — sensitive fields like Social Security numbers and bank details are never stored. Davis-Bacon and WH-347 certified payroll come with real compliance flags built in as a drafting aid — a prevailing-wage job doesn’t need a separate spreadsheet to stay compliant, though a person still reviews and signs it, the way certified payroll actually has to work. Retainage gets tracked through its full lifecycle rather than as a manual note on an invoice, and every transaction runs through a full audit log.
An outside accountant or bookkeeper can be invited to log in directly and review the books, instead of working from periodic exports — and for anyone who wants to keep QuickBooks as their system of record, a one-way export sends real ledger entries into QuickBooks any time.
PoPs Ledger closes the loop that starts with a bid in Construction Bid Manager and a budget in PoPs Project Tracker — the same job record carries through to what actually gets billed, collected, and paid out.

FAQ
Does PoPs Ledger handle certified payroll?
Yes — Davis-Bacon and WH-347 compliance, with real compliance flags, not a manual export to a separate form.
How is burdened payroll different from just tracking wages?
It calculates the real cost of an employee — FICA, Medicare, FUTA, plus your own SUTA, Workers’ Comp, and benefits — not just what’s on the paycheck.
Can I track retainage separately from regular invoicing?
Retainage has its own full lifecycle tracking, not just a note on an invoice line.
Does it handle billing types other than AIA progress billing?
Yes — milestone billing and time-and-material billing are both real billing modes alongside AIA progress billing, so the way a job is actually contracted determines how it gets billed, not the other way around.
Does PoPs Ledger cover accounts payable too, or just receivable?
Both — accounts payable lives directly in PoPs Ledger, fed by PoPs Procurement’s real vendor pipeline — RFQ, PO, delivery, invoice, and payment, gated so nothing gets paid until delivery is confirmed. One connected system, not two to reconcile.
Does PoPs Ledger replace QuickBooks?
It doesn’t have to — a one-way export sends real ledger entries into QuickBooks any time, so it can stay your system of record if you prefer.
Can my accountant get access?
Yes — an outside accountant or bookkeeper can be invited to log in directly and review the books, rather than working from exports.
Does PoPs Ledger include HR/hiring tools?
Yes — PoPs HR is included with PoPs Ledger: the full pre-hire pipeline from prospect to a converted employee, with no separate purchase.
